Courier Tracking Statuses Explained: What "In Transit" and "Out for Delivery" Really Mean
You've booked the courier, paid, and the tracking page now shows a word you don't recognise. "In transit" — but where? "At facility" — whose facility? And why has the status sat on "out for delivery" for three hours?
Courier tracking is meant to remove uncertainty, but the labels don't always explain themselves. Here's a plain-English guide to what each status means in South Africa, what normally happens next, and when it's time to pick up the phone.
First, what is a waybill number?
A waybill number (sometimes called a tracking number) is the unique reference attached to your parcel. It's usually emailed or SMSed when you book. On UrgentGo deliveries it's the number you enter on the tracking page, and it's the same reference the driver and support team use.
Keep it handy. If you ever need to query a delivery, quote the waybill number first — it saves everyone several minutes.
The statuses you'll see, in order
1. Booked / order received
This means the system has your booking but a driver hasn't collected yet. With a same-day courier, this stage should be short. UrgentGo works to a 90-minute collection window across Gauteng.
2. Collected / picked up
The driver has scanned your parcel at the pickup address. From this moment, the delivery clock starts. Collection is also when the parcel weight and dimensions are confirmed — if they differ from your booking, the price can be adjusted before delivery.
3. In transit
Your parcel is moving between two points. On a local same-day job, that usually means it's on the van heading to the recipient. On an overnight or intercity route, it means the parcel is between depots or on a linehaul vehicle.
"In transit" is the broadest status in courier tracking. It can cover a short city hop or a 1,400 km run between Johannesburg and Cape Town.
4. At facility / at depot / sorting
The parcel has arrived at a hub and is being sorted for the next leg. This is normal on overnight and economy services. It's not a delay — it's how bulk freight is consolidated.
5. Out for delivery
The parcel is with a driver on the final leg to the delivery address. It should be delivered that day. If your recipient won't be home, this is the moment to make sure someone can receive it or to arrange an alternative.
6. Delivered
The driver has handed over the parcel and captured proof of delivery — usually a signature or a photo. Check the delivery details on the tracking page. If the status says delivered but nobody has the parcel, report it immediately, while the driver's route is still fresh.
The statuses that need action
Attempted delivery / recipient unavailable
The driver reached the address but couldn't hand over the parcel. In South Africa this is frequently an address problem: a missing unit number, an unmarked complex gate, or a business that closed early. Send the corrected details through as soon as you see this status.
On hold / exception
Something has paused the delivery — an address query, a documentation issue, payment, or an access problem. The status should come with a reason. If it doesn't, contact support with your waybill number.
Returned to sender
The parcel is on its way back after repeated failed attempts or an unresolved query. Act quickly if you still need it delivered; once it's back at the origin, a new booking is usually required.
Why a status can sit still
Load shedding, severe weather, and heavy traffic can interrupt scanning even when the parcel is moving. Scanning also depends on the driver's device and signal. A status that doesn't update for an hour on a same-day job is worth a call; on an economy service, a day between scans can be normal.
How to track an UrgentGo parcel
Enter your waybill number on the tracking page to see live GPS progress, delivery status, and proof of delivery. Every UrgentGo delivery is insured from R500, and our team can be reached by phone or WhatsApp if a status doesn't make sense. If you haven't booked yet, you can get an instant quote from R89 and a driver is dispatched within 90 minutes in Gauteng — most customers book in about 60 seconds.
Quick checklist if your status looks stuck
- Confirm the waybill number is correct.
- Check whether the delivery address is complete, including unit and complex details.
- Allow for normal scan gaps on overnight and economy routes.
- Call or WhatsApp support if a same-day parcel shows no movement for more than an hour.
- Report a "delivered" status you can't find within the same day.
Good tracking doesn't just tell you where a parcel is. It tells you when to act. Once you know what each status means, a quiet tracking page stops being a worry and starts being useful information.
